Position Summary
The Executive Secretary will provide high-level administrative, coordination, and organizational support to Senior Management at the PLIME Rabigh Manufacturing Facility. This role requires exceptional professionalism, discretion, and communication skills, with a strong emphasis on executive reporting, presentations, and handling confidential information within an industrial manufacturing environment.

Key Responsibilities

Provide comprehensive administrative and secretarial support to senior management.
Manage executive calendars, meetings, appointments, and travel arrangements.
Prepare, review, and professionally format executive reports, presentations, and briefing materials for senior leadership and board meetings.
Coordinate internal and external communications on behalf of senior management.
Organize meeting agendas, record minutes, track action items, and ensure timely follow-up.
Maintain confidential records, contracts, correspondence, and executive documentation.
Liaise with department heads, factory management, and external stakeholders to ensure effective coordination.
Manage document control, filing systems, and official correspondence.
Support the coordination of plant visits, audits, inspections, and executive events as required.

Experience & Education Requirements

Minimum 3–5 years of experience in an Executive Secretary or Senior Administrative role.
Proven experience supporting senior management or executive leadership.
Prior experience in a manufacturing, industrial, or engineering environment is highly preferred.
Bachelor’s degree in Business Administration, Management, Secretarial Studies, or a related discipline (preferred).
High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) with strong presentation and reporting skills.

Qualifications & Competencies

Excellent written and verbal communication skills in English / Arabic is an advantage.
Strong ability to prepare professional executive reports and presentations.
High level of discretion, confidentiality, and integrity.
Strong organizational, planning, and time-management skills.
Ability to work independently and manage multiple priorities in a fast-paced environment.
Professional demeanor with strong interpersonal and coordination skills.

مراجعة البريد الوارد وتحديد أولوياته قبل إرساله إلى المدير العام.
الحفاظ على تحديث التقويم لتسهيل مواعيد المواعيد والاجتماعات.
إنشاء والحفاظ على أنظمة حفظ متنوعة، والسجلات، وقواعد بيانات جهات الاتصال التجارية، وتتبع العناصر المعلقة ومتابعتها حسب الاقتضاء.
صياغة الرسائل نيابة عن المدير العام.
حضور الاجتماعات، وتسجيل وتوزيع محاضر الاجتماعات، ومتابعة عناصر العمل.
تنظيم السفر ورحلات العمل الخارجية نيابة عن المدير العام.

المؤهلات:
يجب أن يكون لديك دبلوم جامعي في التدريب السكرتاري وتجارب سابقة ذات صلة. تعتبر الطلاقة في اللغة الإنجليزية المكتوبة والم spoken مهارة عالية. أنت مهذب وقادر على العمل مع الحد الأدنى من الإشراف، وتمتلك مستوى عالٍ من التقدير والسرية.
