Position Summary:
Retal Executive Secretary is responsible for performing clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff. Arranges travel and accommodations for executives. Schedules and attends meetings on behalf of executives, taking notes and recording minutes.

Primary Duties & Responsibilities:
  • Maintain executive's agenda and assist in planning appointments, board meetings, conferences etc.
  • Attend meetings and keep minutes
  • Receive and screen phone calls and redirect them when appropriate
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
  • Make travel arrangements for executives
  • Handle confidential documents ensuring they remain secure
  • Prepare invoices or financial statements and provide assistance in bookkeeping
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Conduct research and prepare presentations or reports as assigned.

Skills:
  • Excellent organizational and time-management skills
  • Excellence in English and Arabic languages (written and verbal)
  • Skill in using a computer with word processing, spreadsheet and other business software to prepare reports, memos, summaries.
  • Integrity and confidentiality.
  • Ability to establish and maintain harmonious working relationships with co-workers, staff and external contacts, and to work effectively in a professional team environment
  • In-depth knowledge of office management.
  • Outstanding communication and negotiation abilities.

Experience and Qualifications:
  • Bachelor’s / Diploma degree in business administration, public administration or a related field.
  • Minimum 2 Years experience as executive secretary or similar administrative role.

  • Fluent in spoken and written English.
