The Executive Assistant Role

This full-time Executive Assistant position is based in Jeddah, Makkah, Saudi Arabia. The role is responsible for providing comprehensive high-level administrative and executive support to a Managing Director. This includes managing communications, coordinating schedules and meetings, conducting research, preparing reports and presentations, handling information requests, and overseeing general administrative and record-keeping functions.

Key Responsibilities

  • Serve as the primary point of contact between the Managing Director’s office and internal/external stakeholders, ensuring clear, professional, and timely communication.
  • Screen, prioritize, and manage incoming calls, correspondence, and documents; respond independently where appropriate and escalate critical matters with recommendations.
  • Review key documents and brief the Managing Director on priorities, risks, and required actions.
  • Organize, coordinate, and participate in meetings, ensuring agendas, materials, and follow-ups are effectively managed.
  • Plan and manage executive-level events and engagements as required, and coordinate and facilitate visits of VIP guests and stakeholders.
  • Plan, organize, and execute directives and special assignments on behalf of the Managing Director, and assist in presentations and other reports as needed.
  • Build and maintain strong professional relationships with senior management, external partners, and clients.
  • Liaise effectively across departments and with external entities (customers, suppliers, partners) on behalf of the Managing Director, acting as an ambassador and role model for the Group.
  • Prepare reports, presentations, and briefing materials as required, and conduct research and compile data, including analytical and statistical reports.
  • Manage the Managing Director’s calendar, schedule appointments, and ensure optimal time management.
  • Coordinate travel arrangements including itineraries, logistics, and expenses tracking in collaboration with relevant departments.
  • Perform general office duties such as ordering supplies and maintaining records management systems.

Required Experience

Candidates for this Executive Assistant role should possess 2-5 years of relevant experience. The position requires strong organizational abilities, excellent communication skills, and a proactive approach to managing complex administrative and executive support tasks. Proficiency in preparing reports, presentations, and conducting research is essential.
