We are looking for a highly organized and proactive Office Manager to ensure the smooth and efficient operation of our office in Jeddah, Saudi Arabia, during the Hajj season. This seasonal role is vital in supporting leadership and maintaining a productive work environment.

Key Responsibilities:
  • Manage day-to-day office operations and administrative activities.
  • Coordinate schedules, meetings, and executive calendars.
  • Handle correspondence, documentation, and office records.
  • Organize internal communications to ensure smooth information flow.
  • Support management with administrative and operational tasks.
  • Coordinate with vendors, service providers, and external partners.
  • Oversee office supplies, procurement, and facility management.
  • Assist in organizing company events, meetings, and internal initiatives.

Requirements:
  • 2+ years of experience in office management or administrative roles.
  • Strong organizational and time management skills.
  • Excellent communication skills in Arabic and English.
  • High attention to detail and problem-solving ability.
  • Ability to handle multiple tasks and priorities efficiently.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Professional attitude with strong interpersonal skills.

This is an office-based role that supports daily operations and management. A high level of coordination with internal teams and external parties is required, along with strong organization, discretion, and reliability.

    • Drive follow-through on decisions, KPIs, and executive action logs.
    • Prepare concise executive updates, including Board and steering materials.
  • Business Analysis & Decision Support:
    • Consolidate multi-source inputs into structured executive briefs.
    • Prepare high-level dashboards, summaries, and briefing notes.
    • Contextualize business drivers and highlight implications.
    • Organize decision materials (context, options, key considerations).
  • Hospitality & Portfolio Acumen:
    • Understand hospitality and multi-property portfolio dynamics.
    • Familiar with operating and commercial KPIs.
    • Aware of owner–operator and group governance environments.
  • Stakeholder & Executive Communication:
    • Manage high-quality CEO communications (emails, briefs, presentations).
    • Maintain strong working relationships across senior leadership.
    • Filter and prioritize inbound information to protect CEO bandwidth.
    • Demonstrate diplomacy and executive maturity in sensitive matters.
  • Board, Shareholder & Group Interface:
    • Coordinate Board and committee materials, actions, and follow-ups.

Experience

Experience supporting Board and committee governance preferred. Hospitality, real estate, asset management, or multi-unit exposure advantageous.

Education
Degree in Hospitality Management, Business Administration, Finance, or related field. Project management training is a strong plus.

Skills
Executive-level PowerPoint, Excel, and Word (Board-ready materials). Strong analytical and structured thinking. Excellent written communication and stakeholder management.
