About the Role

TASC Outsourcing is seeking a highly organized and proactive Executive Personal Assistant to support senior executives within a leading multinational pharmaceutical company in Riyadh. This full-time position operates within a fast-paced international environment, requiring exceptional administrative and organizational skills.

Key Responsibilities

  • Manage complex executive calendars across multiple international time zones using Microsoft Outlook.
  • Coordinate internal and external meetings, including room bookings and international conference calls.
  • Arrange domestic and international travel, including flights, accommodation, visa requirements, and travel expense reporting.
  • Process expense claims through Concur, ensuring compliance with company policies.
  • Support budget administration, procurement activities, and PR/PO processing through Coupa.
  • Monitor team expenditures and maintain accurate financial records.
  • Manage communication channels via Microsoft Teams, SharePoint, and Outlook Distribution Lists.
  • Prepare professional presentations, reports, meeting agendas, briefing documents, and meeting minutes.
  • Coordinate internal and external events and support event logistics.
  • Facilitate the onboarding process for new team members.
  • Collaborate with internal teams to streamline processes and provide organizational administrative support.

Qualifications and Experience

  • Bachelor's degree or equivalent qualification.
  • 2-5 years of experience as an Executive Assistant or Personal Assistant supporting senior executives.
  • Previous experience in a multinational or large international organization is preferred.

Required Skills and Competencies

  • Excellent calendar management, planning, and organizational skills.
  • Strong experience coordinating international travel and managing multiple priorities.
  • Proficiency in Microsoft Office Suite, including Outlook, Microsoft Teams, and SharePoint.
  • Experience with expense management systems (Concur) and procurement platforms (Coupa).
  • Excellent communication and interpersonal skills, with the ability to work effectively across different cultures and organizational levels.
  • High level of professionalism, discretion, and confidentiality.
  • Strong multitasking, problem-solving, and time management abilities.
  • Proactive, flexible, and self-motivated attitude, capable of thriving in a fast-paced environment.
  • Fluent in English (written and spoken).

Work Environment and Location

This is a full-time position based in Riyadh. The role operates within a dynamic, fast-paced international corporate setting.
