We are seeking a highly organized and detail-oriented Executive Secretary to support the leadership team at Malath Alqanun Law Firm in Jeddah. This role is crucial for maintaining an efficient and professional atmosphere in our growing law firm.

Key Responsibilities:

• Manage the calendar of the Managing Partner/General Manager, scheduling meetings and appointments.
• Welcome clients and handle calls/emails, organizing in-person and virtual meetings.
• Assist with case file management and ensure all documents are organized and e-archived.
• Follow up on court dates via the Najiz platform and update internal calendars.
• Draft official correspondence in both Arabic and English.
• Prepare simple contracts and client forms, gathering required documents from clients.
• Coordinate travel, meetings, and venue bookings for office events.
• Manage incoming/outgoing communication and handle basic office needs.
• Support HR tasks including attendance tracking and interview scheduling.

Qualifications:

• Diploma or bachelor’s degree in a relevant field.
• 3 to 5 years of experience as an Executive Secretary, preferably in a law firm.
• Strong command of Arabic and English, both spoken and written.
• Excellent computer skills, including proficiency in Microsoft 365 or Google Workspace.
• Familiarity with Najiz platform and basic legal document types is a plus.
