Position Summary
The Executive Secretary will provide high-level administrative, coordination, and organizational support to Senior Management at the PLIME Rabigh Manufacturing Facility. This role requires exceptional professionalism, discretion, and communication skills, with a strong emphasis on executive reporting, presentations, and handling confidential information within an industrial manufacturing environment.

Key Responsibilities
  • Provide comprehensive administrative and secretarial support to senior management.
  • Manage executive calendars, meetings, appointments, and travel arrangements.
  • Prepare, review, and professionally format executive reports, presentations, and briefing materials for senior leadership and board meetings.
  • Coordinate internal and external communications on behalf of senior management.
  • Organize meeting agendas, record minutes, track action items, and ensure timely follow-up.
  • Maintain confidential records, contracts, correspondence, and executive documentation.
  • Liaise with department heads, factory management, and external stakeholders to ensure effective coordination.
  • Manage document control, filing systems, and official correspondence.
  • Support the coordination of plant visits, audits, inspections, and executive events as required.

Experience & Education Requirements
  • Minimum 3–5 years of experience in an Executive Secretary or Senior Administrative role.
  • Proven experience supporting senior management or executive leadership.
  • Prior experience in a manufacturing, industrial, or engineering environment is highly preferred.
  • Bachelor’s degree in Business Administration, Management, Secretarial Studies, or a related discipline (preferred).
  • High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) with strong presentation and reporting skills.

Qualifications & Competencies
  • Excellent written and verbal communication skills in English / Arabic is an advantage.
  • Strong ability to prepare professional executive reports and presentations.
  • High level of discretion, confidentiality, and integrity.
  • Strong organizational, planning, and time-management skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.

  • Excellent command of English and Arabic (written and spoken).
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time-management skills.
  • Strong interpersonal skills with a professional and polished demeanor.
  • Ability to work under pressure, manage multiple priorities, and meet tight deadlines.
