Position SummaryThe Executive Secretary will provide high-level administrative, coordination, and organizational support to Senior Management at the PLIME Rabigh Manufacturing Facility. This role requires exceptional professionalism, discretion, and communication skills, with a strong emphasis on executive reporting, presentations, and handling confidential information within an industrial manufacturing environment.
Key Responsibilities- Provide comprehensive administrative and secretarial support to senior management.
- Manage executive calendars, meetings, appointments, and travel arrangements.
- Prepare, review, and professionally format executive reports, presentations, and briefing materials for senior leadership and board meetings.
- Coordinate internal and external communications on behalf of senior management.
- Organize meeting agendas, record minutes, track action items, and ensure timely follow-up.
- Maintain confidential records, contracts, correspondence, and executive documentation.
- Liaise with department heads, factory management, and external stakeholders to ensure effective coordination.
- Manage document control, filing systems, and official correspondence.
- Support the coordination of plant visits, audits, inspections, and executive events as required.
Experience & Education Requirements- Minimum 3–5 years of experience in an Executive Secretary or Senior Administrative role.
- Proven experience supporting senior management or executive leadership.
- Prior experience in a manufacturing, industrial, or engineering environment is highly preferred.
- Bachelor’s degree in Business Administration, Management, Secretarial Studies, or a related discipline (preferred).
- High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) with strong presentation and reporting skills.
Qualifications & Competencies- Excellent written and verbal communication skills in English / Arabic is an advantage.
