Job Title:

Inventory Data Entry Employee, Review Invoices, and Upload Products to the Website

Job Objective:

Manage inventory data accurately, review invoices to ensure prices and quantities match, photograph products and upload them to the website along with their data and images, ensuring inventory is updated and providing a distinguished shopping experience for customers.

Tasks and Responsibilities:

First: Data Entry and Updating

  1. Entering new product data (product name, item number, barcode, price, quantity, expiration date).

  2. Updating prices, descriptions, or quantities when changes occur.

  3. Deleting or archiving data for unavailable or expired products.

Secondly: Invoice Review and Auditing

  1. Reviewing supplier invoices and ensuring quantities and prices match the received goods.

  2. Verifying the barcode and description match the invoice.

  3. Reporting any discrepancies or errors in quantities or prices to management or the purchasing department.

Thirdly: Photographing Products and Uploading Them to the Website

  1. Preparing products for photography and cleaning them before capturing.

  2. Photographing products with high quality and from multiple angles.

  3. Editing images and adding suitable backgrounds if necessary.

  4. Uploading images to the website with detailed descriptions for each product (name, specifications, usage, price).

  5. Ensuring information on the website matches inventory data in the system.

Fourthly: Review and Inventory

  1. Conducting periodic audits of the data to ensure it matches the actual inventory.

  2. Assisting in periodic and monthly inventory operations.

  3. Generating inventory and sales reports upon request.

Fifthly: Coordination and Support

  1. Coordinating with the purchasing department to update data for new items.

  2. Collaborating with the sales team to ensure price compatibility in the system and the website with the prices displayed in the store.

Qualifications and Requirements:

  • High school diploma or diploma (preferably in accounting, business administration, or computer science).

  • Experience in data entry or invoice review.

  • Knowledge of computer programs, especially Excel and POS systems.

  • Photography skills and knowledge of basic image editing.

  • Experience in managing e-commerce stores (such as Shopify, Salla, Zed, or WooCommerce).

  • High accuracy and organizational skills.
