About the Executive Secretary Role

Ali Bin Ali Hospital is seeking an Executive Secretary to provide comprehensive administrative support in Riyadh. This full-time, on-site position involves assisting senior leadership with daily operations and administrative tasks within a modern healthcare environment. The hospital has approximately 5 years of experience in the medical field and offers a wide range of specialized medical services.

Key Responsibilities

  • Prepare and format correspondence, reports, and presentations.
  • Maintain confidential files, ensuring proper documentation and record-keeping.
  • Manage incoming phone calls, emails, and inquiries, directing them to the appropriate departments and ensuring timely follow-up.
  • Organize meetings and events, including preparing agendas and taking minutes.
  • Support company secretarial duties.
  • Collaborate with internal and external stakeholders to facilitate smooth daily operations.

Qualifications and Experience

  • Saudi nationality is required.
  • 0-1 year of experience is required.
  • Previous experience as an Executive Secretary, Executive Assistant, or in a similar administrative role is preferred. Healthcare or hospital experience is considered an advantage.
  • A diploma or bachelor’s degree in Business Administration, Office Management, or a related field is preferred. Relevant certifications are a plus.

Required Skills and Competencies

  • Strong clerical skills, including document preparation, filing, data entry, and records management.
  • Excellent communication and customer service skills for professional interaction with patients, visitors, and staff.
  • Experience in company secretarial tasks and executive administrative assistance, including calendar management, meeting coordination, and handling confidential correspondence.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office and communication technologies.
  • Strong organizational and time-management abilities with keen attention to detail and the capacity to prioritize multiple tasks.
  • Ability to maintain confidentiality, exercise discretion, and work effectively under pressure in a fast-paced hospital environment.
  • Fluency in English is required.

Work Environment and Location

This is a full-time, on-site position located in Riyadh. The role operates within Ali Bin Ali Hospital, a healthcare facility equipped with 45 consulting clinics, 4 operating rooms, a catheterization laboratory, an emergency department, labor and delivery rooms, and intensive care units.
