We are looking for a professional secretary to join the team, where you will be responsible for managing administrative correspondence, organizing appointments and meetings, and preparing reports and required documents. The position requires excellent communication skills and the ability to use basic computer programs such as Microsoft Office, in addition to the ability to work under pressure and manage multiple tasks efficiently. The ideal candidate should have strong organizational skills, attention to detail, and commitment to deadlines.

Tasks and Responsibilities:

  • Organizing and managing outgoing and incoming correspondence.
  • Coordinating appointments and meetings and preparing their minutes.
  • Following up on daily administrative tasks and ensuring workflow efficiency.
  • Preparing periodic reports and presentations.
  • Communicating with suppliers and factories outside the Kingdom to request and negotiate price offers.
  • Comparing price offers and preparing analytical tables to select the best offers.
  • Following up on purchase requests and issuing purchase orders in coordination with the administration.
  • Following up on import and shipping operations from abroad until they arrive.
  • Coordinating with shipping and customs clearance companies and following up on procedures.
  • Following up on shipment schedules and ensuring compliance with deadlines.
  • Dealing with government entities and electronic platforms (Etimad, Forsa, Enfath).
  • Managing and organizing files and documents systematically.
  • Supporting the administration in executing various tasks.

Requirements:

  • Practical experience of not less than (2–5) years in secretarial or administrative work.
  • Familiarity and practical experience in using the Etimad platform.
  • Experience in dealing with the Forsa platform.
  • Good knowledge of the Enfath platform for real estate or related platforms.
  • Experience in import and customs clearance procedures.
  • Advanced skills in data analysis and report preparation.
  • Proficiency in using Microsoft Office programs (especially Excel and PowerPoint).
  • Fluency in English, both spoken and written.
  • High negotiation skills and the ability to build relationships with suppliers.
  • High communication skills and the ability to organize and manage time.
  • Ability to work under pressure and take responsibility.

Qualifications:

  • Diploma or Bachelor's degree in management, business administration, or a related field.
