Role OverviewWe are seeking a proactive and detail-oriented Committee Secretary to provide professional secretariat support to boards and committees. The successful candidate will ensure effective meeting management, accurate record-keeping, and smooth follow-up on decisions to support strong governance across the organization.
Key Responsibilities- Plan, coordinate, and administer committee and board meetings (scheduling, venue/virtual setup, invitations).
- Draft and circulate agendas, meeting packs, presentations, and supporting documents in advance.
- Attend meetings, take precise minutes, and record decisions and action items with clear owners and deadlines.
- Maintain and organize committee and board records, archives, and document library.
- Monitor follow-up on resolutions and report on outstanding actions.
- Support governance processes and ensure compliance with internal policies and statutory requirements.
- Produce concise post-meeting summaries and periodic governance reports for senior leadership.
Qualifications & Experience- Bachelor’s degree in a relevant field.
- Minimum 5 years’ experience in committee/board secretariat or similar governance role.
- Professional certification such as CAP or equivalent in committee/board management is preferred.
Skills & Competencies- Excellent minute-taking and report-writing skills.
- Strong organization and document-management abilities.
- Proficiency in presentation design (PowerPoint) and MS Office.
- Strong communication and stakeholder-management skills.
- High attention to detail, discretion, and confidentiality.
- Ability to manage multiple tasks and tight deadlines.
