Role Overview: This position aims to support the manager or department by handling documentation, managing phone calls and visitors, assisting in project coordination, and managing schedules.

Key Responsibilities:
  • Take notes by shorthand and copy correspondences, reports, and meeting minutes, reviewing and formatting them according to office standards.
  • Handle telephonic communications from staff and external clients, sorting and directing them, receiving voicemail messages, answering queries, and transferring calls accordingly.
  • Manage incoming and outgoing mail, inspecting, registering, and distributing correspondence.
  • Review meeting requests and appointments, coordinating participants’ schedules, scheduling meetings, securing meeting rooms, and preparing agendas.
  • Create systems for maintaining records and files, ensuring all documents are organized systematically.

Requirements:
  • Proficiency in using computers and Microsoft Office applications is required.
  • Fluency in English, both spoken and written, is essential.
