At Rayhaan Hotels & Resorts, we pride ourselves on offering luxurious accommodations that respect and reflect our guests' values. As a Reservation Agent, you will play a key role in ensuring a seamless and enjoyable experience for our guests.

Responsibilities:
  • Answer phone inquiries within 3 rings using the company-approved greeting and handling reservations scripts.
  • Process reservations accurately within our property management system.
  • Follow up on reservation confirmations, modifications, and cancellations while ensuring compliance with standard operating procedures.
  • Maintain accurate records of all interactions and reservation requests.
  • Stay informed of hotel facilities and promotions to assist guests effectively.
  • Participate in training programs focusing on up-selling and cross-selling to increase hotel revenue.
  • Comply with all health, safety, and environmental policies.

Skills Desired:
  • Strong communication and customer service skills.
  • Attention to detail with the ability to manage multiple tasks.
  • Knowledge of hotel operations and reservation systems.
  • Willingness to learn and adapt in a dynamic environment.

The Role:
The Reservations Agent is responsible for actively converting bedroom enquiries into confirmed business, whilst providing an exceptional and personalized experience to guests.
  • Respond timely to communications from guests, travel agents and leads concerning reservations arriving by mail and telephone.
  • Prepare confirmation letters and promptly process any cancellations, modifications, and guest’s request.
  • Maintain a professional demeanor reflecting the quality of the hotel.

Key Areas of Responsibilities:
  • Understand and anticipate guest needs and requirements.
  • Provide an exceptional call experience to all callers.
  • Input and update reservations from all booking channels.
  • Handle daily correspondence and inquiries in a timely manner.
  • Maintain accurate paper transactions and guest profile information.
  • Work collaboratively with Front Office and Sales Team.

Qualifications and Standards:
  • Graduate of Hospitality Management, Tourism and Travel, or related courses.
  • Fluent in English and/or Arabic.
  • Experience with Opera PMS System.
  • Professional telephone etiquette.
  • Strong communication skills and attention to detail.
  • Minimum of 1 year experience in a similar capacity is preferred.
