- Reception and Visitor Management:
- Welcoming visitors in a professional and friendly manner.
- Recording visitor information and maintaining accurate logs.
- Notifying relevant departments of guest arrivals.
- Directing visitors to the appropriate department or meeting room.
- Managing meeting room bookings and ensuring their readiness.
- Handling incoming calls appropriately.
- Shipment and Courier Coordination:
- Receiving and verifying incoming shipments and deliveries.
- Logging package details and notifying relevant departments.
- Coordinating outgoing shipments with courier services.
- Maintaining accurate tracking records for incoming and outgoing shipments.
- Ensuring proper documentation for receipts and deliveries.
- Document and Order Management:
- Receiving and directing purchase orders and official correspondence.
- Ensuring proper internal distribution of documents.
- Following up on urgent or sensitive documents.
- Coordinating with finance and supply chain for shipping documents as needed.
- Office Support:
- Maintaining a professional reception area.
- Tracking stationery and office supplies needs.
- Assisting with archiving and organizing documents.
- Helping prepare simple reports and data entry as necessary.
- Record and track shipments with 100% accuracy.
- Notify departments of deliveries in a timely manner.
- Avoid loss or misdirection of any documents or packages.
- Quickly transfer calls (within 3 rings).
- Accurate visitor information recording.
- Coordinate shipments and process documents promptly.
- Independence: Works under routine supervision adhering to clear procedures.
- Effect: Primarily interacts with employees and visitors on routine matters.
- Complexity: Handles routine administrative tasks according to specific guidelines.
- Basic understanding of office procedures and company policies.
- Clear and professional communication in daily interactions.
- High attention to detail in recording shipments and visitor information.
- Maintaining confidentiality of information.
- High school diploma or equivalent (administrative diploma preferred).
- 2-4 years’ experience in reception or administrative support.
- Basic knowledge of shipping procedures and logistics coordination.
- Proficiency in Microsoft Office and email applications.
- Good communication skills in Arabic and English.
