About the Role
This role is essential for assisting in the purchasing tasks within alfanar, ensuring efficiency, punctuality, and adherence to quality standards in line with the company's defined policies and procedures.

Key Accountability Areas:
  • Prepare and send Requests for Quotations.
  • Update the vendor database.
  • Maintain project-wise quotations in a shared folder for easy access.
  • Coordinate with the Purchase Engineer to prepare Purchase Orders (POs).
  • Draft letters and office notes in collaboration with the Purchase Engineer.
  • Finalize POs in the SAP system, based on feedback from the account payable team or site team.
  • Update the Purchase Order Status Report daily according to approved quality documentation.
  • Ensure timely filing of Purchase Orders.
  • Initiate supplier evaluations for assigned projects and record feedback from the Project Manager.
  • Maintain documentation required for periodic ISO audits.

Role Accountability:
  • Deliver planned activities to meet operational and development targets as per scheduled timelines.
  • Effectively utilize resources to achieve objectives in a cost-efficient manner.
  • Provide periodic reports detailing deviations and the execution of planned tasks.

Required Qualifications:
  • Academic Qualification: Diploma Degree in Administration.
  • Work Experience: 2 to 5 years.
  • Technical Skills: Proficient in MS Office, project management, negotiation, and teamwork.
  • Soft Skills: Strong communication, creativity, initiative, analytical thinking, and time management.

Key Responsibilities:
  • Handle full vessel operations (ETA, berthing, cargo operations, departure)
  • Coordinate with port authorities, terminals, customs, immigration, and coast guard
  • Submit pre-arrival documentation and ensure compliance with local regulations
  • Act as the main point of contact for owners/charterers
  • Provide accurate and timely daily updates to principals
  • Arrange and monitor services (pilotage, towage, bunkering, stevedoring, etc.)
  • Prepare and manage PDA / FDA, ensuring cost control
  • Handle crew changes, permits, and documentation through systems like Fasah, Mawani, Muqeem
  • Resolve operational issues and ensure minimal delays

What We’re Looking For:
  • 2–5 years experience in shipping agency / port operations (KSA experience preferred)
  • Strong knowledge of vessel handling and port procedures
  • Familiarity with Saudi systems (Fasah, Mawani, etc.)
  • Excellent communication skills (English required, Arabic is a plus)
  • Ability to work under pressure and manage multiple vessel calls
  • Problem-solver with strong coordination skills
