Job Summary: We are seeking a highly presentable and professional receptionist/hostess to join our team at Noir Cafe, a high-end cafe in Laysen Valley. The ideal candidate will possess excellent communication skills in both Arabic and English, while providing a warm welcome to create an exceptional first impression for our guests.

Key Responsibilities:

• Greet guests warmly upon arrival, offering a personalized and hospitable welcome.
• Manage reservations efficiently, handle seating arrangements, and provide accurate menu details and wait-time estimates.
• Answer incoming calls professionally, take detailed messages, and direct inquiries appropriately.
• Maintain an organized and tidy reception area.
• Collaborate with the waitstaff to ensure a seamless dining experience and efficient table turnover.
• Assist with special events and occasional administrative tasks, as needed.

Qualifications:

• Can comfortably wear western business attire
• Strong communication skills in both English and Arabic
• Warm, friendly, and highly presentable demeanor.
• Exceptional interpersonal and customer service skills.
• Ability to multitask and stay organized in a fast-paced environment.
• Demonstrated professionalism and reliability.
• Experience in a hospitality or customer-facing role is preferred.

Tasks and Responsibilities:

• Receiving phone calls from clients and answering their inquiries with courtesy and professionalism.

• Scheduling appointments and patient bookings via phone or in-person visits, and entering them into the electronic system.

• Welcoming patients and visitors to the clinic and directing them as needed.

• Registering new patient data and accurately updating current patient information.

• Transferring calls or inquiries to departments or specialized doctors.

• Following up on client complaints and feedback and resolving or escalating them to management.

• Confirming appointments and sending reminders to patients as needed.

• Managing payment processes and issuing invoices and receipts.

• Maintaining the confidentiality of medical information and adhering to quality standards and customer service.

• Greet and assist guests upon arrival.
• Handle reservations and manage guest inquiries.
• Coordinate with other departments to meet guest needs.
• Maintain organized and updated records of all check-ins and check-outs.
• Provide information about hotel services and local attractions.

• Previous experience in a receptionist or customer service role is preferable.
• Excellent communication and interpersonal skills.
• Proficiency in computer systems and hotel management software.
• Ability to work in a fast-paced environment.

• Operate the switchboard and manage reception area activities.
• Greet visitors and ensure they are welcomed and assisted promptly.
• Handle internal and external inquiries, maintaining logs of visitors and callers.
• Coordinate deliveries and manage mail distribution accurately.
• Book meeting rooms and maintain a tidy reception area.
• Support the office manager in event planning and organization.
