As an Executive Secretary, you will play a pivotal role in managing administrative and organizational affairs, ensuring smooth daily operations, and supporting the execution of projects and events to the highest professional standards.
Main Responsibilities:1.
Executive and Administrative Support:- Manage and organize the Executive Director's schedule effectively, including appointments, meetings, and prioritization.
- Prepare and draft official correspondence, reports, meeting minutes, and presentations.
- Track and ensure implementation of administrative decisions, confirming adherence to established timelines.

Communication and Relationship Management:- Manage official communication channels (telephone, email, internal and external correspondence).
- Continuously coordinate with government entities, partners, suppliers, and clients to reflect the company's professionalism.
- Maintain confidentiality of sensitive information and comply with the highest standards of privacy.

Office Management and Workflow Organization:- Organize and archive paper and electronic files professionally.
- Arrange meetings, prepare meeting rooms, and oversee hospitality and logistics requirements.
- Support the improvement of administrative procedures in line with company growth.

Event and Project Support:- Contribute to the organization and execution of events, exhibitions, and conferences.
- Coordinate with teams and suppliers regarding schedules, permits, and contracts.
- Monitor logistical aspects of events and support project teams when needed.
Qualifications:- Bachelor's degree in Business Administration or a related field.
- Minimum of 5 years of experience in administrative work or executive secretary roles, preferably in events or fast-growing companies.
- Proficiency in computer skills and Microsoft Office programs (Word, Excel, PowerPoint).
- Strong organizational, planning, and time management skills.
- Able to work under pressure and manage multiple tasks simultaneously.
- Excellent communication skills in both Arabic and English (written and spoken).
- Organized, precise, adaptable, and proactive personality.
