Tasks and Responsibilities:

• Receiving phone calls from clients and answering their inquiries with courtesy and professionalism.

• Scheduling appointments and patient bookings via phone or in-person visits, and entering them into the electronic system.

• Welcoming patients and visitors to the clinic and directing them as needed.

• Registering new patient data and accurately updating current patient information.

• Transferring calls or inquiries to departments or specialized doctors.

• Following up on client complaints and feedback and resolving or escalating them to management.

• Confirming appointments and sending reminders to patients as needed.

• Managing payment processes and issuing invoices and receipts.

• Maintaining the confidentiality of medical information and adhering to quality standards and customer service.

• Use Business Analysis techniques to capture business and end user requirements
• Act as the product owner
• Work with the technical team to develop business and technical requirements
• Analyze and model the business domain to create a complete picture of workflows and technical requirements fulfilled by the software
• Serve as a liaison between stakeholders and users
• Ensure that programs meet business/user requirements by inspecting and monitoring software development progress
• Define the business problem and primary objectives of new projects
• Identify and validate the key business requirements
• Determine approaches which will improve the business, usability, performance and integrity of the software
• Coaches members on achieving goals and developing necessary skills

• Bachelor's degree in Computer Science/Engineering
• 5+ years of relevant experience (Software development/ Business Analysis)
• Preference will be given to Saudi nationals in line with Saudization initiatives

• Manage and coordinate diaries, ensuring optimal scheduling.
• Handle complex travel arrangements and personal shopping.
• Oversee day-to-day office operations.
• Assist with property management tasks.

• A degree from a recognized Western institution.
• A minimum of 5 years’ experience as a PA/EA to C-Suite executives, preferably within a private family office.
• Excellent written and spoken English and Arabic skills.
• A poised and confident demeanor, with a focus on perfection and self-starting ability.

• Manage sensitive information with discretion and integrity.
• Act as the first point of contact for the Executive Office.
• Handle calendar management for the Managing Director, organizing meetings and appointments.
• Prepare reports, presentations, memos, SOPs, and official documents.
• Manage correspondence, including responses to negative reviews.
• Prepare and process the Managing Director’s monthly and travel expenses, as well as other reimbursement claims.
• Review contracts and important documents prior to the Managing Director's review.
• Ensure departmental tasks meet set deadlines.
• Maintain both physical and digital filing systems for organization.
• Monitor project timelines and deliverables to ensure deadlines are met.

• Bachelor’s degree in Hospitality Management, Business Administration, or a related field is preferred.
• Must be a Saudi National.
• Previous experience in a similar role within the hotel or hospitality industry is preferred.
• Proficient in both English and Arabic; knowledge of additional languages is an asset.
• Excellent organizational, time-management, and communication skills.
• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Able to multitask and prioritize effectively with attention to detail.
• High integrity and a strong commitment to confidentiality.
