Job Announcement: Administrative Assistant (Hybrid)

Our activity is in the field of e-commerce, and we are looking for an administrative assistant to support daily operations and oversee workflow.

Nature of Work

The work is flexible and hybrid between being present and working remotely as needed, with a necessity for daily presence initially to learn and understand the nature of the work.

It is preferred that the applicant is from South Riyadh, with priority given to residents of Al-Owaly neighborhood or nearby areas.

Job Responsibilities

Supervising orders and ensuring they are prepared and dispatched correctly.

Follow up with the warehouse staff and ensure daily operations are running smoothly.

Printing shipping invoices and ensuring orders are prepared.

Tracking shipments and ensuring they reach customers.

Dealing with simple inquiries or complaints from customers.

Coordinating in some administrative and organizational tasks within the institution.

Assisting in some tasks related to sales and operations.

Salary

Trial period: from 15 days to two months.

Salary during the trial period: 1000 SAR per month.

After passing the trial period: 1500 SAR per month + bonus based on performance and sales.

• Regularly follow up and review customer accounts to identify outstanding debts and the status of overdue payments.
• Effectively communicate with customers (by phone and email) to remind them of payment deadlines and discuss available solutions.
• Negotiate payment scheduling and establish realistic repayment plans that fit the customers' circumstances and ensure the recovery of dues.
• Document all interactions, agreements, and accurately update customer data in the company's internal system.
• Continuously collaborate with the legal team and management to escalate cases that require escalation or legal action.
• Fully adhere to the company's internal policies and legal regulations governing collection processes.

• Previous practical experience in the field of collections or customer service.
• Excellent verbal and written communication skills, with exceptional ability to listen, persuade, and build relationships.
• Strong negotiation skills and the ability to handle difficult situations or angry customers calmly, professionally, and tactfully.
• Proficiency in using computer applications, including Customer Relationship Management (CRM) software and Microsoft Office Suite.
• Basic familiarity with the principles and regulations related to debt collection and financial claims.

• The applicant must be a Saudi national.
• Practical experience of no less than three years in the field of sales.
• A proven record of achieving sales targets.
• High skills in communication, negotiation, and building customer relationships.
• The ability to work under pressure and achieve targets.

• Achieving monthly and annual sales targets.
• Attracting new clients and developing the existing client base.
• Preparing offers and closing deals.
• Preparing periodic reports on performance and sales.

• Inventory Accuracy & Control: Conduct regular cycle counts and full physical inventories; reconcile discrepancies and investigate root causes to reduce variances. Implement and enforce inventory control procedures to minimize shrinkage, obsolescence, and stockouts.
• Replenishment Support & Stock Management: Monitor stock levels and execute replenishment strategies to maintain target service levels and safety stock. Coordinate with procurement and suppliers to prioritize and expedite orders and manage lead-time variability.
• Reporting & Performance Metrics: Prepare and distribute regular inventory reports and dashboards to inform stakeholders. Track key performance indicators (KPIs) and recommend corrective actions to improve inventory performance.
• Systems & Process Improvement: Maintain accurate item master data and inventory records in the company’s inventory management and ERP systems. Identify process inefficiencies and support continuous improvement initiatives.
• Collaboration & Compliance: Partner with operations, sales, merchandising, and finance to align inventory control activities with business objectives and ensure compliance with company policies.

• Guest Reception: Greet and welcome guests upon arrival, efficiently managing check-in/check-out processes, and issuing room keys.
• Reservation Management: Manage bookings, cancellations, and modifications via phone, email, or in-person.
• Front Desk Operations: Handle billing, invoice settlement, and payments (cash/credit card).
• Guest Services: Respond to guest inquiries, complaints, and requests professionally, providing information about hotel amenities and local attractions.
• Coordination: Coordinate with housekeeping and maintenance teams to ensure rooms are ready and guest needs are met.
• Communications: Answer, screen, and forward incoming phone calls, and manage correspondence.
• Administrative Duties: Maintain accurate guest records and keep the front desk area organized.
