Responsibilities:  

  • Contract with all suppliers as requested by the Product Manager;
  • Collect contracts and complete including signatures at the right time to meet our annual product cycle’s needs;
  • Negotiate the best rates with the best terms and conditions possible;
  • Check all contracts to ensure the accurate & adequate information is included before sending to the Product Manager for approval and the General Manager for signing.
  • Make sure that all contracting activities are carried out in accordance with Saudi legislation & company policy.
  • Keep yourself aware of the market trends, analyze opportunities when new suppliers open and know what our competition buys. Regularly keep the Management informed of this.
  • Ensure a clean and correct contracting database of EXO Saudi Arabia following EXO procedures.
  • Develop relationships and negotiate with suppliers to ensure the company receives the best rates and services.
  • Coordinate with the database team to ensure that all contract information has been input and updated on the database and maintain a clear filling system.
  • Cross check within the Product team to ensure the uploaded database/information/rates are accurate.

With Suppliers


  • Negotiate with suppliers to provide with best available rates and conditions: for barter agreements, allotment, release periods, terms conditions of hotels; both new properties and re-contacting existing agreements. 
  • Concentrate on driving prices down for tactical promotions relevant to our segments
  • Assist in resolving complaints and administrative issues between EXO and suppliers.



With Inbound Department

  • Support Inbound to send requests to suppliers and follow up with suppliers to get the full answers for the inbound department.
  • Provide contract information to all departments to ensure the information are clear and up-to-date in the system for team to refer
  • Inform all necessary departments if there is any change in rates, conditions or any promotions.



With your Department

  • Work closely within the Product department to ensure the appropriate suppliers are being contracted; ensure the uploaded database/information/rates are accurate. 
  • Coordinate with Tourplan to ensure that all contract information has been input and updated on database as well as maintaining a good filling system.



Reporting

  • Report at least monthly to the Product Manager, CC the General manager on highlighted activities of the Contract department.
